RR4D Acknowledgement
  • Schedules and room reservations are made in advance with your tour in mind to provide a unique and memorable experience for your group visit. Cancellations within 72 hours of the tour, apart from inclement weather situations, or failure to arrive for a tour may result in your group's inability to reschedule within the same semester. Please keep us updated as plans change prior to your scheduled tour date.
  • Prior to your scheduled visit, you will receive an email tour confirmation with important day-of information to ensure a positive and smooth campus visit experience. Please respond to this campus tour confirmation within three days of receiving the email and provide a final headcount of your students in order to keep your guided tour on our schedule.
  • Each school should follow their own permission slip or field trip procedures. UTSA Community Outreach does not require nor will provide waivers or permission slips for participation in the Roadrunner for a Day program.
  • The guides for the Roadrunner for a Day program are UTSA college students. also known as G-force Student Mentors. While G-Force Student Mentors are informational tour guides trained to enhance your visit to the university, we rely on your chaperones to ensure student behavior is conducive to an excellent and safe field trip. For this reason, we require one (1) adult chaperone per ten (10) students.
  • UTSA is a public university, and therefore Peaceful Public Assembly is allowed on campus. Expressive Activities may be taking place in “Free Speech” areas on our tour route. The content of these college demonstrations or free speech activities are designed for college students and vetted by campus administrators. For more information, visit our website.
UTSA Welcome Center Group Tour Guidelines:

Our mission at the Welcome Center & Events office is to make your group visit a good memorable experience. To accomplish this, we kindly ask that you please read the following information carefully in order to help us achieve this goal.

  1. The ratio for a student-to-chaperone is 20:1.
  2. We recommend that you arrive at least 20 minutes before your scheduled tour time and call the Welcome Center & Events office to let us know you have arrived. A late arrival may result in a condensed tour or a cancellation of the tour.
  3. All members of the group, including chaperones, need to stay together at all times during the campus tour.
  4. Your group will have a tour guide for your campus tour, but all other activities, such as housing, dining/Roadrunner Cafe and/or other activities, will need to be traveled on your own.
  5. Group members need to keep their voices down inside academic buildings and remain respectful of the learning environment.
  6. Group members must stay respectful at all times toward each other, tour guide(s), university staff, students, other visitors and families. Disrespectful comments and/or actions are not permitted and may result in termination of your tour and we will not be able to host your group(s) again in the future.
  7. A minimum of 2 weeks’ advance notice is required for ADA accommodation and/or any special request.
